Framework To Make Systems
One of the most common questions I get is, "I want to have systems. But, how do I create a system?
Summary: Simplify. Standardize. Avoid complexity. Avoid customization.
A system is creating a repeatable outcome. The result is the same every time.
Think of a car manufacturing factory. It sources rubber, metal, and parts to build a vehicle.
The goal is to build the vehicle the same way every time. The factory uses systems to achieve this.
In your business, we can create a system to produce the desired outcome.
Every time.
We can build a system for answering the phone. The goal is to close the appointment.
We can build a system for doing an in-person estimate. The goal is to build the quote on time. The goal is to create notes and a video for the project manager.
We can build a system for following up on the estimate. The goal is for the customer to accept the proposal.
Okay. So we know what a system is. We know we need systems. But HOW do we build systems?
This framework has served me well.
I know that it is easier to create systems for SIMPLE processes.
I know it is easier to create systems for STANDARDIZED processes.
I know it is harder to create systems for COMPLEX processes.
I know it is harder to create systems for CUSTOM processes.
Remove complexity. Remove customization.
Install simple and standardized process.
Simple and standardized hiring templates.
Simple and standardized sales scripts.
Simple and standardized services.
Simple and standardized products.
Simple means basic, clear, and minimal.
Standardized means doing it the same way every time, with little variation.
People think I mean that only simple services, like MOWING, can be systemized.
Wrong.
You could build an entire house using systems. How? Standardization.
The same house plans. The same type of carpet. The same type of countertops.
Every Home Depot feels similar. Every Apple store feels similar. Every BigMac tastes the same.
Yes, this is how big business got big. Yes, this means saying no to the customer. You won't do every service. You won't change your processes. Yes, this will seem less "personal."
But if your goal is to make more money, this works. If you hate making more money, you probably didn't reach this point in the email.
